Account Statement
The Penstar account is provided by Penstar Innovation Inc. (referred to as "Penstar" or "We" hereinafter) to help you better utilize Penstar applications, services, websites, etc., and enjoy a unified and efficient account service experience across different devices. Penstar attaches great importance to the protection of your personal information and privacy. We will provide corresponding security measures for your personal information in accordance with legal requirements and mature security standards in the industry.
Important Reminder
  • The Penstar account serves as the access credential for Penstar services, providing you with a consistent user experience and secure authentication when using Penstar Cloud, Notes, Voice Memos, E-Letter, Cloud Documents, the Penstar app, as well as Penstar terminal devices and related partner services.
  • In order to offer a unified, expedient, and secure account login experience while using Penstar services, your Penstar account information may be shared and utilized within Penstar's affiliated companies. We will only use Penstar account information within affiliated companies for specific, explicit, and lawful purposes, and will provide only the necessary information for the provision of services.
  • When Penstar applications or services authenticate and authorize access through Penstar accounts, they will check your agreement signing records in advance over the internet to confirm your access to Penstar applications or services.
  • Penstar accounts may be initiated by associated applications to provide you with basic operational services when you use Penstar or third-party applications.
1. How do we collect and use your personal information
We will provide the following services through the Penstar account. In the process of using the basic services of the Penstar account, we will process the necessary information to provide the services listed below, in order to fulfill our contractual obligations and ensure that you can use the relevant functions of this application normally.
1.1 Account Function
Registration and Login
When you register for a Penstar account, you need to provide an email address and set a password for login. After registration, you can improve your Penstar account usage experience by completing basic information such as personal profile.
During registration or login, we will also collect your device identifiers (such as UUID, IMEI, IMSI, SN), device information, operator network information, approximate location information, and browser settings information to facilitate quick login on commonly used devices or trusted browsers.
Account Security
To protect the security of your Penstar account information, we have set up various authentication methods, including completing Penstar account information, which requires you to fill in the corresponding email or mobile phone number, etc. When you need to retrieve your account password or appeal to modify your Penstar account registration information, to ensure the security of your account, you may need to provide your Penstar account information, personal information, and historical usage information (such as information about sharing files in cloud documents).
Account Risk Control
To protect the rights of Penstar, you, or other Penstar customers, we will collect and use your device identifiers (such as UUID, SN), device type information, approximate location information, network information, operator information, Penstar account information (such as avatar, nickname), when you register, login, or initiate payment, etc., for risk control purposes, to prevent behaviors that violate social morality, restrict fraud and other illegal activities. We will freeze and even clear abnormal accounts that are identified.
When we identify the risk of second-hand number issuance associated with the phone number you used to log in to the account, we will provide your phone number and the time of account registration to the communication operator for secondary number verification to ensure the security of your account. When there is an abnormal status in the Penstar account logged in using third-party services, we will share the abnormal account status information (such as account freezing, account theft, etc.) with the third-party service logging in using the Penstar account to support their risk control.
Device Interconnection
When you purchase Penstar and Penstar-certified partner devices, we will collect your device identifiers for trust binding of smart accessories and store them on Penstar servers for device authentication. When you use smart office-related devices and applications, the Penstar account will obtain your device identifiers from the corresponding application for display.
1.2 Penstar Cloud
The Penstar Cloud service is only available when you log in from Penstar terminal devices.
Penstar Cloud employs industry-leading privacy protection technology and utilizes multi-layered encryption security mechanisms to ensure that your information cannot be viewed or accessed by anyone without your authorization.
To help you synchronize data between your devices and the cloud in real-time, Penstar Cloud will self-start in scenarios such as application restarts and account logins. Additionally, to ensure the synchronization of data between other associated applications and Penstar Cloud, Notes, Voice Memos, E-Letter, Cloud Documents, and the Penstar app will be launched when logging into Penstar Cloud.
To protect the lawful rights and usage experience of all cloud backup users, if your Penstar device has not backed up any data to Penstar Cloud for more than 180 days, we may clean up the backup information for this device.
Cloud Documents
Cloud Documents provides services such as file uploading, downloading, and viewing. You can use Cloud Documents for file sharing and specify recipients to ensure the security of your sharing.
E-Letter
E-Letter provides features like searching for users, adding contacts, and communicating with contacts. When you use the handwritten letter function, we collect your text information, which is necessary to achieve the above functionalities. After real-time processing, we return the processing results to you.
Notes Cloud Sync
Notes Cloud Sync allows you to synchronize data files from Penstar handwriting note software to cloud space and view them on multiple devices. The data will be encrypted and stored on the server.
My Account
My Account provides features such as account upgrading, cloud space usage statistics, and account information management. When you use the "Device Search" and "Package Subscription" functions, we will collect some of your data. For details, please refer to "Device Search" and "Package Subscription".
Voice Memos
Voice Memos provides services such as voice transcription and cloud synchronization. During the voice transcription process, your voice data will be provided to a third party, which will not store your data. After the transcription is complete, the data will be cleared in real-time. The cloud synchronization service will encrypt and save the transcription results and handwriting trajectory data on the server.
Device Search
Penstar Cloud also provides "Device Search" service to protect your device and information security. Through "Device Search," you can control the device to log out of the account.
Package Subscription
To provide you with more and better services and improve your user experience, we offer paid membership services. You can purchase a cloud document storage space package that suits your needs. To ensure that you can enjoy the benefits of paid services, we need to collect your purchase records (including package name, space size, duration of purchase, purchase time, and order number).
Using Other Clients
You can log in to the Penstar Cloud website (www.penstarcloud.com) or Penstar app to view and manage your Penstar Cloud data. We collect your browser settings information, IP address, cookie information, browsing or clicking records, etc., to improve the quality of our services.
Risk Control
To protect the rights of Penstar, you, and other Penstar customers, we will collect and use your Penstar account information, network information, operator information (such as IMSI), device identifiers (such as UUID, SN), and device type information when you perform high-risk operations—such as cloud document sharing within your Penstar eNote or paper tablet ecosystem. This helps us conduct necessary risk control and prevent behaviors that violate laws or social morality.
We also supervise and review the content you share through Penstar services. Any information found to violate legal or compliance requirements will be blocked or removed to ensure a safer digital note-taking environment.
2 Device Permission Invocation
During application runtime on Penstar eNote devices or compatible paper tablets, the following permissions may be required. No permission will be invoked without your explicit consent.
Device Information Permission:
Used to obtain your device identifier for Penstar account login, Penstar Cloud backup and synchronization, and verification of membership rights. Disabling this permission may affect the security of your digital note-taking device.
Storage Permission:
Required to store configuration files, downloaded content, or files you choose to upload while using Penstar eNote or Penstar paper tablets.
3 Protection of Minors
We place great importance on protecting the personal information of minors. Penstar strictly follows legal requirements and provides appropriate protection for minors using Penstar eNote, Penstar Cloud, or related smart paper tablet services.
If you are a minor, parental or guardian consent is required to use this application and agree to the relevant terms of service. Parents and guardians should take appropriate preventive measures and supervise minors' use of digital note-taking devices.
Services may vary across devices as features evolve. The actual services provided by your Penstar device shall prevail.
4 Third-Party Sharing List and SDK
Some Penstar services—such as communication, synchronization, or extended cloud features—are jointly provided by trusted third-party partners. To deliver these services for your Penstar eNote or paper tablet, we may need to share necessary account information with them.
All data transmission is encrypted, and no data is shared without your consent. Penstar has signed data-security agreements with partners to ensure that your information is protected throughout the digital note-taking process.
Certain features require the integration of third-party SDKs or similar components for stable and optimized performance.
5 Manage Your Information
Penstar respects your concerns regarding personal information and provides the following rights for your Penstar account and cloud documents.
5.1 Information Access
You can access your Penstar account details—including avatar and nickname—through: My Account > Avatar & Nickname on your Penstar eNote.
When using Penstar Cloud, you may access your synced content—including E-Letter, Cloud Documents, and account information—via the Penstar Cloud website (www.penstarcloud.com).
Device-specific differences may apply.
5.2 Information Correction
You may modify your avatar and nickname at: My Account > Avatar & Nickname
5.3 Information Deletion
You may view or delete your cloud-stored content through "Cloud Documents" or via the Penstar Cloud website (www.penstarcloud.com).
5.4 Account Deletion
To delete your account, please contact: support@penstar.com
After deletion, all personal data associated with your Penstar account—including backups and usage information—will be permanently erased and cannot be recovered.
6 Information Storage Location and Duration
Personal information collected through Penstar eNote, Penstar Cloud, and Penstar paper tablet services is stored within the United States.
We retain your personal information only for the time required to fulfill the purposes outlined in this privacy statement.
If you continue using your Penstar account, we will retain necessary information to ensure normal use across your Penstar eNote, Penstar Cloud, and digital note-taking ecosystem. After account deletion, all related data will be permanently erased.
Retention periods:
Penstar Cloud
  • System settings, device hardware information, network information, Penstar Cloud usage data, operations, and logs are deleted after statistical analysis.
  • Error logs are retained for 14 days.
  • Device brand, identifiers, hardware details, OS version, network information, usage data, and browsing/clicking behavior collected to improve user experience will be retained for 5 years.
  • Order information for cloud storage purchases is retained for 7 years.
